What is VowProof? VowProof is a new CRM that was built by a wedding stationer and her husband specifically for wedding invitation designers. After a decade in this business, I’m so excited there’s a CRM just for invitation designers! While it does a lot of the same things other CRMs do at a base level, it also has specific features just for invitation designers that are pretty big game-changers. Let me take you through a few things on VowProof.

At its core, VowProof is similar to other CRMs you may have tried! You can use VowProof to manage your client information and communications.
But if you’re here, you’re likely a wedding invitation designer, so I want to draw your attention to the VowProof features that are specifically designed for us!
Let’s explore some of these features in depth!
Proofing is one of the tougher parts of any CRM, so I like that VowProof has integrated it as a main feature in their platform. You can upload proofs, and the system will keep track of revisions and approvals directly. You can add in specific approval questions, or attach a questionnaire to a proof. The system will show you client notes and let you resolve them as well! The clients can leave notes directly on the proof, or use the form fields to provide feedback.

Your clients will also be able to upload a guest list from a template, from a CSV, or one at a time. They can do this in their portal, and you’ll be able to access that guest list on your end. The BEST part of this, in my opinion, is how it connects with the envelope address proofing, which I’ll talk about…
…now! In VowProof, you can actually create envelope address proofs directly in your project. Select fonts (upload custom ones!), change up spacing and styling options, add a return address on the back or the flap, and get a full-blown proof you can scan through one by one. You can make edits to an individual address, and once you’re done – download a printable PDF file! It’s basically a data merge feature directly on VowProof. And did I mention the best part? You can share it with your clients in their portal so THEY can go through each envelope and make changes as needed before doing an official print signoff. I’m obsessed.
If you’ve ever had trouble keeping your clients on timeline – well, the VowProof creators obviously felt that pain. They created template timelines that you can adjust to your needs and apply to various jobs. The timelines will tell you if a rush is needed, they’ll show your tasks on your end and the client’s tasks in their portal, and you can use those tasks and deadlines in your automated workflows too (ie: tie an email send to the print approval deadline!). I’m predicting these will really help clients stay on track – and probably you too!

The Shopify integration is great if you have a semi-custom line. It allows orders to flow naturally into VowProof, and you can connect certain products to those listings. So a good deal of the project info will already be built out for you, as the order comes in. No more having to transfer over the order into your system, and especially no more of the accidental mistakes that come along with that.
Of course, there are more features mentioned that I didn’t cover, but these are some of my faves so far! I have been educating on CRMs for a decade now, and I am so excited to see one built specifically for stationery designers. It has all the basics you need, plus these additional features that are perfect for our workflow. I always promote a little bit of caution when diving into a system that’s new to the market, but I’ve been pleasantly surprised with how the VowProof team is quick to respond to any issues or bugs, and has been quick with exciting updates as well.
